Research Dental Clinics for Agency Prospecting

A dental agency prospecting list should help a researcher understand the practice behind a listing. Before suggesting a website project, the agency needs to know which location it is reviewing, which services the official site describes, and what evidence makes a further conversation relevant.

This walkthrough follows a fictional web agency researching general dental practices in Raleigh, Cary, and Apex, North Carolina. Its offer is help with location pages and appointment-inquiry journeys. The research concerns dental businesses that might evaluate agency services. It does not collect patient leads or make judgments about clinical care.

Use G Maps Crawl Online for the first business sample, then add a short manual website review. All example practices and decisions below are fictional. They illustrate a method without claiming live results or improvements in bookings.

Write a brief that a researcher can apply

The agency's brief is: “Find general dental practice locations in the three target cities. Establish each practice's official website and location identity. Review whether a visitor can find the location's services, contact details, and appointment-inquiry route. Record a specific next check for each candidate.”

The phrase “general dental practice” matters. A search for dentists can include orthodontic specialists, individual clinicians, oral surgeons, and branches of larger organizations. Some may be relevant later, but they need different research briefs. Keep them separate rather than treating every dental listing as the same audience.

Do not assume a low rating identifies a practice that needs marketing. Ratings and review counts provide public listing context; they do not diagnose a website problem or establish willingness to hire an agency. The useful next step is to inspect a concrete part of the current public experience.

Choose a bounded review batch and finish it before expanding. This lets the agency learn which categories and website questions produce useful evidence without building a large, unexplained contact sheet.

Search by practice type and city

Start with a consistent set of location queries:

general dentists in Raleigh North Carolina
general dentists in Cary North Carolina
general dentists in Apex North Carolina

In the Online dashboard, select the Online scraper and check your available allowance and keyword limit. Submit the supported number of queries, one per line. The job keeps its status and available results in the workspace, so you can return to it later. Follow the Online scraping guide for the current controls.

Preview completed results before exporting. Check whether the names and categories match the brief and whether the returned addresses are useful for the target cities. Search wording guides discovery; it does not guarantee a strict geographic boundary or an exhaustive directory of practices.

Eligible paid Online plans include downloads and website email/social enrichment. Online, Extension, and API subscriptions have separate allowances. For a programmatic workflow, follow the API quickstart. This article uses Online results and a manual review worksheet.

Keep practice identity separate from clinician identity

A practice can have a clinic listing and separate listings for clinicians at the same address. Similar names or a shared phone number may also appear across several locations. Resolve what each record represents before deduplicating it.

Use place.placeId to recognize the same listing returned by multiple searches. Preserve place.cid and place.mapsUrl as additional identity references. A different Place Id can describe a different listing at the same address, so it should prompt review rather than an automatic merge.

For a location-focused agency brief, keep one reviewed practice-location row and retain related clinician listings in a separate tab if needed. Record why you linked them. Check the official site's team and location pages before assigning a clinician listing to a practice.

Likewise, a shared website does not establish independent ownership, common purchasing authority, or the number of staff. Those remain questions when they matter to the agency's offer.

Build a worksheet around the next decision

The structured business record stores listing details under record.place. Use the fields below for the initial sheet and keep the full JSON for provenance and missing-field information.

Worksheet purposeStructured fieldSpreadsheet label or action
Name the listingplace.nameName

Add listing contextplace.rating, place.reviewCountAverage Rating, Review Count
Preserve identityplace.placeId, place.mapsUrlPlace Id, Google Maps URL
Check observation ageplace.observedAtKeep through full structured JSON

Add your own practice_identity_status, location_page_url, appointment_route, evidence_note, reviewed_at, and next_check columns. These are manual research annotations, rather than automatic product judgments about a clinic's website.

For exports, keeping all fields in JSON preserves the structured records; choosing selected fields produces objects with the selected columns. Read the export guide before relying on a spreadsheet alone for source timestamps.

Inspect the public appointment-inquiry journey

For each in-scope practice, open the official website and confirm that its name and location match the listing. Then follow the visible route a visitor would use to find the location's phone number or appointment information.

Record what the page actually does. “Location page links to a contact form” is an observation. “This practice loses patients because its form is bad” is an unsupported outcome claim. The agency can identify a question worth discussing without inventing revenue or patient behavior.

Keep the review at the public-information level. You do not need to submit an appointment form or create a booking to document where the route leads. If a technical issue appears, record the URL, the action taken, the visible result, and the review date before drawing a conclusion.

The fictional rows below demonstrate the resulting decisions.

For Oak Lane Dental, the agency's handoff can be precise: “From the Raleigh location page, the appointment link opened the Cary contact page. Confirm whether this is the intended route for Raleigh enquiries.” Keep the starting page, destination URL, and observation date together. That gives the agency a concrete routing question to investigate without submitting a form or claiming that the practice lost bookings.

An agency's best next action may be to leave a practice out of the campaign. A complete, relevant website can still be a poor fit for the agency's current offer. Make the decision about the stated service, not about filling a target number of rows.

Treat a dental email list as sourced business information

After confirming practice identity, inspect the contact information that is available. Website enrichment can return public email addresses and social links. In structured data, place.contacts includes each contact's sourceUrl and observedAt, while place.contactsCheckedAt records the contact-check timestamp where available.

Preserve that source page with the address. A reception inbox, appointment form, or patient-information address should not be relabeled as the owner's contact. The product does not verify mailbox deliverability or establish a contact's purchasing authority.

Missing values also deserve a clear state. An empty website field does not prove that the practice lacks a website; an empty email field does not mean it has no business inbox. Review place.fieldStates and place.enrichmentState where available, and use the business-field guide to interpret incomplete results.

Deliver a practice brief someone can check

For each selected candidate, hand over the practice identity, official location page, one relevant observation, and one unanswered question. Preserve the source query, Maps URL, listing observation timestamp, contact source, and your own review date. If a job completed only some keywords, note which parts of the city sample remain incomplete.

A new response can contain earlier observations. Query responses have a 24-hour reuse window, and website contact checks have a seven-day window. Complete Maps details can be reused for up to 730 days. Revisit the current site before making a claim about the practice's present appointment route.

Start with one practice type and a small city sample. Open G Maps Crawl Online, preview the returned businesses, and use the business research guide to turn the sample into a useful agency review queue.
